The 69th Annual International Conference of the Society of Allied Weight Engineers will be held at the Hilton Virginia Beach Oceanfront in Virginia Beach, Virginia, a modern 21-story hotel located directly on one of the most popular oceanfronts on the East Coast. It offers modern amenities that are sure to meet your every need plus spectacular views of the ocean.

A block of rooms, available until April 21st April 28th, has been set aside for our use and includes both Government and Non-government rate rooms. Be sure to mention the SAWE Room Block code SA2 when reserving a Government room at $89.00 plus $12.57 state, local, and occupancy tax (total cost per night $101.57 per night). Non-government rate rooms are available at $149.00 plus $20.37 state, local, and occupancy tax (total cost $169.37 per night) and may be reserved under the Block Code SAW. These rates are available for two nights prior to and after the conference. A credit card valid through your check-out date is required for all reservations.

Complimentary internet access is available on the second floor of the hotel where our conference will be held. An Internet Cafe? area will be available in the vicinity of our conference rooms for your use. Wireless internet access is also available in your hotel room at a cost of $9.95 per day.

Transportation to/from the Airport

Norfolk International Airport (ORF) is the closest and the recommended airport for Virginia Beach. It is not necessary to rent a car unless you choose to venture away from the hotel and surrounding area on your own. The hotel is located approximately 19 miles from the Norfolk Airport. While there are no courtesy shuttles to the hotel, there are taxis to/from the hotel at a cost of $35 to $40 each way or an airport shuttle operated by Carey Transportation that services Virginia Beach hotels for $39 for one person, one way, plus $5 for each additional passenger. The Carey shuttle can be found outside the baggage claim area at a booth marked “Airport Connection.” For advanced reservations and current pricing, call 866-823-4623 (toll free). Another option is Airport Express International which offers 24-hour limo/van transportation to the oceanfront hotels from Norfolk Airport. Their current rate is $40 one way for up to 3-persons with advanced reservation and $10 per person for each additional rider. For service from midnight to 6 am, there is a $10 surcharge. Airport Express is located just outside the airport’s Baggage Claim area and credit cards are accepted. Advanced reservations are recommended and can be made by calling 1-877-455-7462.

Local Trasportation

A low-cost trolley called the Virginia Beach Wave is available for travel along the Virginia Beach Boardwalk, a 3-mile strip of shops, restaurants, and beach attractions. Trolley fares are as follows:

  • Standard Fares - Adults and children over 38” tall are $1 per ride while children under 38 inches are free. Seniors (age 60 and over) and persons with disabilities are charged $.50 per ride
  • Farecards - If you are planning on using the trolley more than once, purchase of an unlimited farecard is recommended. A one-day unlimited farecard costs $3, a 3-day farecard costs $5, and a 5-day farecard costs $8.

The trolley runs approximately every 15 minutes and there is a stop very close to the Hilton hotel. Farecards can be purchased at Transportation Kiosks along the route. The hotel’s Concierge Desk can provide more information on the Trolley as well as local restaurants and other stops of interest.

Parking

If you choose to rent a car, parking is available directly across from the hotel on Atlantic Avenue and is easily accessed by an enclosed walkway that connects directly to the hotel. Self-parking is complimentary, but requires a room key or a Hilton receipt upon leaving the garage. Valet parking is also available for a fee of $11 per day. For day visitors who are not staying at the Hilton Hotel, valet parking is complimentary.

Pets

The Virginia Beach Hilton Oceanfront Hotel does allow pets up to a maximum of 75 lbs. However, there is a non- refundable Pet Service Fee of $75. We recommend that you contact the hotel directly for any further information on pets.

Virginia Beach Weather

The climate in Virginia Beach during late May can vary considerably. Daytime high temperatures can easily reach the low to mid 80’s, or it can be quite cool, with highs in the mid 50’s to low 60’s, particularly on the waterfront. It is suggested that all attendees bring a light to medium jacket or sweater and comfortable shoes for “exploring” the many attractions available in the area.

Conference registration is required for all those wish to attend or participate in any conference events including technical sessions, training, social events, banquet, luncheon, etc. A Conference Badge is required for participation in all conference events. Advanced registration is strongly advised. Payment of all applicable Registration Fees by check, credit card, or cash is required before or at the time you obtain your Conference Badge at Registration (there will be no exceptions).   1. All registrations made after May 7, 2010 will be increased by $50. If you anticipate that your company will miss this deadline, please add this fee. If you do meet the deadline, the $50 fee can be refunded to you.
  2. Rather than incur a $100 increase in registration fee for being a non-member, consideration should be given to becoming an SAWE member at a cost of $50.
  3. Access to the SAWE papers presented at this conference will be provided by means of a password and link to access them electronically. It will be forwarded to all qualifying registrants soon after the conference. As a membership benefit, members have free access to all papers from conferences one year or more past.
  4. Complimentary one day registration on day of paper or presentation for one individual per paper only.
  5. Student Authors - Complimentary 3-day registration for all co-authors.
  6. Board of Directors Meeting - Saturday, May 22, 8 am - 4 pm - Includes continental breakfast, lunch, and afternoon break. Board van at hotel at 7:45 am.

Students must pay a full conference registration for the day of the class (Monday to Wednesday) and the weekend classes require at least a one-day conference registration. SAWE membership is required for all students.

Registration must be completed by May 14, 2010 to ensure your seat in the class but advance registration is not required if space remains after the aforementioned registration date. Class sizes are limited, and enrollment is subject to availability. SAWE reserves the right to cancel or combine classes if registration does not meet the minimum requirements for student interaction.

Non-Member Fees

A $100 fee will be charged to non-members who wish to attend the conference. SAWE suggests that you instead purchase a membership at $50, which includes the $5 enrollment fee, or purchase a membership with the SAWE Handbook on CD for $75. Membership is $45 annually.

Reservations for special/social events should be made at time of conference registration. Space is limited and is subject to availability. Payment must be received upon request of event registration and will not be confirmed until payment is received. All event registration information will be retained by the Social Events Chairs and may be verified at time of conference check-in if desired.
